What You’ll Do:

The Facility Coding Specialist is responsible for analyzing medical records to ensure accurate and efficient facility coding practices in compliance with regulatory and payer standards. This position ensures that all codes accurately reflect the procedures, services, and diagnoses performed in Ambulatory Surgery Centers (ASC) and other dermatology facility settings. The ideal candidate will have specialized experience in dermatology facility coding, including lab billing, ASC billing, cancer screening, and ancillary services.

This role requires an in-depth understanding of institutional billing requirements, coding regulations, and payer guidelines as they apply to outpatient surgical and ancillary dermatology services.

ESSENTIAL DUTIES

  • Review facility medical records and assign appropriate ICD-10, CPT, and HCPCS codes for dermatology procedures performed in ASC and ancillary settings.
  • Ensure accurate and compliant coding of ASC services to support timely and clean claims submissions.
  • Maintain compliance with federal and state regulations, as well as specific payer guidelines, including Medicare and Medicaid requirements.
  • Conduct internal audits focused on facility coding accuracy and collaborate with the Medical Coding Manager to address deficiencies.
  • Communicate with ASC clinical staff, dermatologists, and billing teams to verify documentation and support accurate facility coding.
  • Assist in appeals, coding audits, and payer compliance initiatives, especially those involving facility-level services.
  • Collaborate on the implementation and validation of institutional EDI file formats (e.g., 837I), carrier form configurations, and system testing.
  • Monitor claims submission timelines to ensure facility charges are processed in accordance with payer deadlines.
  • Remain current on coding updates and regulatory changes impacting ASC billing and dermatology facility operations.
  • Partner with Revenue Cycle, Compliance, and IT teams to resolve coding and data quality issues related to facility billing.
  • Participate in department meetings, project initiatives, and presentations to support continuous improvement and coding accuracy.

What we're looking for:

  • Minimum of 3 years of experience in facility coding, including coding for Ambulatory Surgery Centers (ASC) and ancillary services.
  • Dermatology-specific coding experience highly preferred.
  • 2+ years of experience in a remote working environment.
  • High school diploma or equivalent required; Associate degree or higher preferred.
  • Active COC certification (Certified Outpatient Coder) is required. Proof of COC certification completion must be provided at the time of application.
  • Progressive CPC (Certified Physician Coder) to COC (Certified Outpatient Coder) a plus.
  • Strong knowledge of ICD-10-CM, CPT, HCPCS, and institutional coding and billing guidelines.
  • Experience working with 837 institutional claim files and related EDI transactions.
  • Familiarity with institutional billing software and electronic health record (EHR) systems.
  • Demonstrated ability to identify, research, and resolve facility coding issues and improve documentation processes.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Excellent verbal and written communication skills; ability to collaborate across clinical, operational, and leadership teams.
  • Proficient in Microsoft Word, Excel, Outlook, and healthcare data systems.
  • Ability to thrive in a fast-paced, evolving healthcare environment.
  • Commitment to professional development and ongoing education in facility coding and regulatory compliance.
  • Must be able to work in a fast-paced office environment.

Qualifications:

  • Associate degree highly preferred.
  • 5+ years of related experience required.
  • Proficiency in Microsoft Office with advanced Excel skills.
  • Experience with Intacct, ConnectWise, Ubersmith, System Integration and M&A a plus.
  • Strong communication skills, written and verbal.
  • Ability to work independently and manage time appropriately.
