Summary of Position:
The Central Scheduling Specialist serves as a key liaison between patients and practice staff, ensuring a seamless and supportive experience across all points of contact. This position is responsible for providing centralized scheduling and administrative support for ancillary surgery centers, while maintaining direct communication with clinical and administrative teams across the organization.
The main function of this role is to work collaboratively with practice staff to manage surgical scheduling, support pre-registration and insurance authorization processes, and coordinate various patient service functions. The Specialist interacts with patients via telephone, email, online chat, and in person, addressing inquiries related to appointments, referrals, authorizations, and general service needs.
What You’ll Do:
- Coordinating centralized scheduling for ancillary surgery centers.
- Responding to patient questions, concerns, and complaints and routing them appropriately (e.g., transferring biopsy results or billing concerns to designated staff).
- Managing inbound and outbound communication, including call-back requests and after-hours voicemails.
- Performing scheduling tasks for surgical procedures, including rescheduling as needed due to facility changes.
- Handling eligibility verification, documentation, and pre-registration.
- Supporting administrative tasks such as data entry and maintaining accurate records of patient interactions.
- Facilitating clinical communications and submitting insurance authorization requests to the Prior Authorizations Department, then following up with patients upon processing.
- Sending patient-related emails internally regarding referrals, medical records, and complaints.
What We’re Looking For:
- 3+ years of experience in Medical Facility Scheduling, preferably in dermatology.
- Must have a high school diploma or equivalent educational experience.
- 3+ years of remote working experience.
- Call center experience preferred.
- Demonstrate an understanding of healthcare management, including staffing and leadership.
- Demonstrate an understanding of patient accounts.
- Ability to educate patients on benefits prior to scheduled procedure.
- Communicate effectively with healthcare workers, patients, vendors, and insurance companies.
- Able to prioritize and organize tasks at hand.
- Work collaboratively with vendors and internal staff to ensure accurate and appropriate authorization and/or referral processes are being followed.
- Liaison to internal staff and vendors.
- Strong attention to detail, positive attitude and a proven ability to lead a team to success.
- Proficient in Microsoft Word, Outlook and Excel.
- Knowledge of state regulations.
- Experience with the EHR/PM system Modernizing Medicine/EMA is a plus.
- Must have excellent written and verbal communication skills.
- Able to work with a diverse group of people.
- Must be able to work in a fast-paced office environment. Other duties as assigned
- Associate degree highly preferred.
- 5+ years of related experience required.
- Proficiency in Microsoft Office with advanced Excel skills.
- Experience with Intacct, ConnectWise, Ubersmith, System Integration and M&A a plus.
- Strong communication skills, written and verbal.
