Position Overview
The Medical Back Office Assistant is responsible for managing clinical operations and staff, supporting providers, and ensuring a seamless and professional patient experience. This role also includes direct patient care support, administrative oversight, and compliance with all applicable regulations and internal policies. A blend of leadership, clinical skill, and organizational abilities is essential.
Key Responsibilities
Clinical & Patient Care Duties
- Perform a variety of patient care activities to assist physicians and nursing personnel.
- Show patients to exam rooms and prepare them according to company standards.
- Record patient documentation in the medical record accurately and in a timely manner.
- Coordinate patient care as directed by physicians, in line with company standards and policies.
- Respect and protect patient confidentiality at all times.
- Organize, stock, and clean exam and treatment rooms; sterilize instruments as required.
- Deliver quality customer service and maintain established quality control standards.
- Follow all policies, including Dispensary Technician Policy and safety protocols.
Operational Oversight
- Oversee and manage clinical flow, staff interaction, and all daily functions.
- Manage and coordinate employee schedules to ensure adequate coverage.
- Assist with advertising and promotional activities in collaboration with the Marketing team.
- Ensure the clinic remains competitive by monitoring local dermatology pricing and offerings.
- Submit accurate payroll through Paycom, including any timecard adjustments, at the end of each pay period.
- Monitor inventory and submit supply orders as needed.
- Make bank deposits and submit receipts to the appropriate department.
- Assign and verify maintenance of all required logs (e.g., Botox, Narcotic, MOHS).
- Audit daily reports and worklogs in NextGen.
- Take necessary disciplinary measures with approval from the manager.
- Maintain all clinic vehicles, including up-to-date registration and insurance.
Compliance & Team Management
- Ensure all OSHA, HIPAA, and governmental regulations are followed.
- Promote a professional and positive work environment.
- Resolve staff conflicts constructively and maintain team cohesion.
- Ensure all employee tasks are completed accurately and on time.
- Meet and continuously work to improve patient satisfaction.
- Complete all required reports on a daily, weekly, and monthly basis.
Skills & Qualifications
- 1+ year of experience in a Dermatology office with back office experience preferred (not required).
- 3+ years of experience as a Medical Assistant in any specialty.
- Knowledge of medical terminology and clinical documentation.
- Ability to react calmly and effectively in emergency situations.
- Excellent communication, organizational, and customer service skills.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Strong understanding of HIPAA, OSHA, and relevant medical compliance standards.
