Position Overview
The Lead Medical Assistant is responsible for performing clinical and administrative tasks to support physicians and nursing staff while ensuring compliance with quality standards, confidentiality, and regulatory requirements. This role requires a high level of competency, professionalism, leadership, and communication in patient care and back-office operations.
Key Responsibilities
Clinical Competence & Professionalism
Demonstrate competency and professional responsibility in all aspects of the medical assistant role.
Adhere to clinic personnel policies and procedures.
Apply constructive feedback from performance evaluations toward continuous staff development.
Maintain strict confidentiality in all interactions with patients, families, staff, and the public.
Successfully complete annual competencies, orientation, training, skills evaluation, and performance reviews.
Maintain up-to-date certifications and competencies, including:
- Age-appropriate care training
- Safety Education Module
- CPR certification (every two years if involved in patient care)
- Annual competency checklist
- Orientation/safety/skills checklist on hire
Documentation, Coding, and Compliance
Perform chart reviews for completeness, maintaining at least 80% compliance.
Demonstrate accuracy in ICD-9 and CPT-4 coding, scoring 80% or higher on assessments.
Maintain working knowledge of clinic policy and procedure manuals (Safety, Infection Control, MSDS, Disaster, and Clinic-Specific manuals).
Attend at least 75% of scheduled staff meetings.
Ensure accurate documentation of patient data and chart assembly, including:
- Vital signs, weight, allergies, medication history
- Immunization records and chief complaint
- Signature/initials on required documentation
- Accurate ICD-9 coding per diagnosis
- Disassembly and timely filing of medical records
Patient Interaction & Clinical Duties
Provide outstanding customer service with a positive and helpful attitude toward peers, patients, and visitors.
Prepare patients for exams (vitals, positioning, gowning, etc.).
Administer or handle medications under direction.
Gather patient demographic and insurance information accurately and input into the EMR.
Assist providers by assembling and organizing records and treatment rooms.
Administrative & Communication Tasks
Answer incoming calls with proper clinic identification and patient triage.
Document and relay telephone messages to the appropriate personnel.
Schedule appointments and follow up on missed visits.
Accurately type documents, including 1st reports, Treatment Authorization Requests (TARs), and correspondence.
Operate office equipment (photocopier, fax, scanner).
Obtain prior authorizations for referrals from insurance providers.
Maintain a clean, functional, and organized workstation.
Assist in the upkeep of a neat and accurate billing and medical records system.
Demonstrate safe practices and body mechanics in mobilizing objects.
Use and complete Incident Reports as required.
Job Limitations
Lead Medical Assistants may not:
- Assess patient conditions
- Work outside of assigned scope of responsibilities
Skills & Qualifications
- High school diploma or equivalent required
- Medical Assistant Certification required
- 1+ year experience in a clinical medical assistant role (dermatology preferred)
- Front office experience preferred
- Current BLS certification required
- Strong typing and accurate filing skills
- Proven ability to maintain professional conduct and patient confidentiality
- Basic computer skills and familiarity with EMR systems
- Bilingual skills preferred
Physical Requirements
- Ability to lift up to 100 lbs with assistance and carry up to 50 lbs
- Prolonged periods of standing, walking, sitting, reaching, and stooping
