Position Summary
The Dermatology Practice Manager is responsible for overseeing the day-to-day administrative and operational functions of a busy dermatology clinic. This role ensures efficient office workflows, regulatory compliance, a positive patient experience, and smooth coordination among clinical and administrative staff. The ideal candidate has prior experience in a healthcare office leadership role, is detail-oriented, and demonstrates excellent organizational and communication skills.

Key Responsibilities
Administrative & Operational Leadership
- Organize and coordinate daily office operations to ensure a smooth and efficient workflow.
- Conduct regular staff meetings and communicate updates effectively across the team.
- Submit payroll on time; monitor and approve timecards and ensure disciplinary actions are submitted for repeated infractions.
- Work directly with senior management to update office policies and implement procedural improvements.
- Assist in the onboarding and training of new staff, completing all required checklists (3, 7, 12-week competencies).
- Maintain inventory of medical and office supplies; place orders (e.g., McKesson, sutures, gloves, etc.) twice monthly.
- Coordinate repairs and facility maintenance through proper channels.
- Respond to Klara, Teams, emails, and EMA tasks throughout the day.
Patient Experience & Front Office Oversight
- Ensure front and back office operations run smoothly, filling in as needed.
- Maintain a clean, safe, and welcoming environment for patients and staff.
- Monitor patient satisfaction, respond to Google reviews, and resolve complaints professionally.
- Ensure staff encourages patient feedback and promotes Google reviews using branded giveaways.
- Schedule appointments and adjust provider schedules in accordance with clinic guidelines.
- Confirm Mohs surgery days in advance with surgeon, tech, and senior manager.
Compliance & Reporting
- Ensure compliance with HIPAA, OSHA, and all applicable healthcare regulations.
- Maintain and submit reports including:
- Inventory Trackers (Levulan, Taheri products, skin subs)
- Sharps Tracker
- PA Log
- Pharmacy Inventory
- Biopsy Tracker & Pathology Logs
- Daily Patient-to-Staff Ratio
- Monthly Location Checklist
- Daily Manager Checklist
- Ensure all pending prescriptions are sent and CCOF notes are updated.
Team Oversight & Training
- Supervise staff to ensure job duties are completed accurately and on time.
- Provide coaching, training, and support to new and existing employees.
- Address and resolve employee questions regarding scheduling, supplies, or office procedures.
- Maintain accurate and updated staff schedules and lunch compliance.
- Attend biweekly manager meetings and communicate key takeaways to staff.
Qualifications
- Previous experience as a Front Office Lead, Office Administrator, or Practice Manager required.
- Experience in dermatology or a medical office setting strongly preferred.
- Excellent organizational and multitasking abilities.
- Strong leadership, training, and communication skills.
- Proficient with email tools, spreadsheets, databases, and EMR systems (EMA preferred).
- Knowledge of HIPAA, OSHA, and healthcare operations.
- Friendly, professional demeanor with strong attention to detail.
- Ability to handle sensitive information with discretion and confidentiality.
