Summary of Position
Skin and Cancer Institute is a U.S.-based dermatology group looking to hire a Marketing Admin Coordinator based in the Philippines. This is a remote and direct hire position. We are not a recruiting agency. The selected candidate will work directly with our company on a long-term basis. The schedule will follow U.S. Pacific Time. Healthcare or medical office experience is preferred.
A Marketing Administrative Coordinator is to provide remote administrative, coordination, and operational services supporting SCI's marketing activities across multiple clinic locations.
The contractor will support marketing request administration, project coordination, collateral fulfillment, vendor coordination, reporting, documentation, and communication between SCI locations and existing marketing resources. The contractor will not independently own SCI's website, social media strategy, or referral-development strategy. The primary focus is maintaining the administrative infrastructure and coordination necessary for approved marketing activities to operate efficiently.
WHAT YOU'LL DO
Scope of Services:
Marketing Request Administration
- Receive and organize marketing requests from SCI clinics and internal stakeholders.
- Review requests for required information and follow up regarding missing documentation.
- Enter, categorize, route, and track requests through completion.
- Maintain current project status and deadline information.
- Follow up regarding outstanding information, approvals, or deliverables.
- Identify overdue or unresolved items and communicate them to the designated SCI contact.
- Maintain supporting documentation for requests, approvals, revisions, and completion.
Marketing Project Coordination
- Maintain project trackers, calendars, task lists, and workflow documentation.
- Provide administrative coordination for approved marketing activities.
- Coordinate deliverables among SCI contacts, clinics, marketing resources, and approved vendors.
- Prepare project-status summaries and outstanding-item reports.
- Maintain visibility of approaching deadlines and required actions.
- Provide administrative support for recurring marketing activities and special projects.
Collateral and Business Card Coordination
- Coordinate approved business-card orders for physicians, providers, and staff.
- Process approved requests for brochures, flyers, signage, banners, posters, and promotional materials.
- Maintain organized libraries of approved materials and templates.
- Coordinate proof routing and required approvals before production.
- Maintain inventory and order records for marketing collateral.
- Coordinate shipment and distribution of materials to SCI locations.
- Track fulfillment and follow up on outstanding deliveries.
Vendor and Order Coordination
- Maintain vendor contact and order information.
- Request and organize vendor quotes as directed.
- Coordinate approved orders and maintain applicable documentation.
- Track production, shipping, and delivery status.
- Follow up regarding incomplete, incorrect, damaged, or delayed orders.
- Assist with invoice and order reconciliation.
- Maintain documentation supporting vendor purchases and deliveries.
- Communicate unresolved vendor issues to the designated SCI contact.
Clinic and Provider Administrative Support
- Coordinate routine marketing-support requests from clinics and providers.
- Maintain supporting information for provider and clinic marketing materials.
- Assist with administrative coordination associated with new providers and locations.
- Monitor outstanding clinic requests and provide follow-up.
- Coordinate distribution of approved clinic and provider materials.
Reporting and Documentation
- Maintain marketing request and activity records.
- Track request volume, turnaround time, status, and completion.
- Prepare recurring operational reports.
- Maintain project trackers and marketing calendars.
- Organize marketing documentation, templates, forms, and vendor records.
- Maintain orderly electronic files and version control.
- Assist with approved marketing expense and purchase tracking.
Event and Promotional Administrative Support
- Provide logistical and administrative support for approved events and promotional activities.
- Coordinate approved collateral, signage, promotional items, shipping, and related materials.
- Maintain event checklists and documentation.
- Monitor administrative deadlines and deliverables.
Process and Workflow Support
- Identify repetitive administrative activities that may benefit from standardization or automation.
- Assist in maintaining forms, templates, trackers, procedures, and checklists.
- Identify recurring workflow delays or incomplete requests.
- Recommend administrative process improvements for SCI consideration.
Scope Boundaries:
This engagement supplements SCI's existing marketing resources and is administrative and operational in nature. Unless separately authorized in writing, the contractor will not independently own or direct:
- Marketing strategy
- Website strategy or website management
- Social media strategy or channel ownership
- Referral-development strategy
- Provider relationship development
- Advertising strategy or media purchasing
- Marketing budget authority
- Final creative or brand approval
- Clinical-content approval
The contractor may provide administrative support to these functions by collecting information, scheduling, tracking, preparing reports, routing materials, updating documentation, and following up on assigned deliverables.
WHAT WE'RE LOOKING FOR:
Required
- Strong administrative, organizational, and project-coordination capabilities.
- Excellent written and verbal English communication.
- Strong attention to detail and follow-through.
- Ability to coordinate multiple requests and deadlines.
- Advanced proficiency with Microsoft 365, including Excel, Outlook, Word, PowerPoint, and Teams.
- Ability to maintain spreadsheets, trackers, reports, and electronic documentation.
- Professional communication skills when interacting with physicians, clinic leaders, employees, and vendors.
- Ability to work independently within an established scope of services.
Preferred
- Bachelor's degree or equivalent relevant professional experience.
- Two or more years of relevant administrative, marketing coordination, project coordination, vendor coordination, or comparable experience.
- Experience supporting U.S.-based or multi-location organizations.
- Experience coordinating print vendors, signage, promotional materials, or marketing collateral.
- Familiarity with Canva, Adobe Acrobat, project-management platforms, or ticketing systems.
- Healthcare experience is beneficial but not required.
