Position of Summary

Skin and Cancer Institute is a U.S.-based dermatology group looking to hire a full-time Recruiting & Onboarding Coordinator based in the Philippines. This is a remote and direct-hire position. We are not a recruiting agency. The selected candidate will work directly with our company on a long-term basis. The schedule will follow U.S. Pacific Time. Healthcare or medical office experience is preferred.

The Recruiting & Onboarding Coordinator ensures that accepted candidates complete all required preemployment and onboarding activities and arrive operationally ready on their approved start date. The position manages the administrative transition from accepted offer through new-hire orientation and onboarding handoff, including candidate communication, document tracking, screening coordination, applicant-tracking-system updates, orientation scheduling, approved setup requests, record reconciliation, and escalation of incomplete or at-risk starts.

WHAT YOU'LL DO

Accepted-Candidate and Start-Date Management 

  • Maintain an accurate list of accepted candidates, approved positions, assigned locations, hiring managers, anticipated start dates, and onboarding status.
  • Confirm that an approved offer and authorized start date are documented before initiating onboarding.
  • Monitor candidates from accepted offer through first-day readiness and communicate required documents, deadlines, screenings, orientation details, and next steps. 
  • Identify incomplete requirements, delays, withdrawals, no-shows, and start-date risks and escalate promptly. 
  • Maintain complete and accurate status information in the ATS and approved onboarding trackers. 

Preemployment Requirements 

  • Send and track approved preemployment forms, disclosures, acknowledgments, and instructions.
  • Coordinate background checks, reference checks, drug testing, professional-license verification, credentialing documents, or other approved screenings applicable to the position. 
  • Monitor screening progress, follow up on outstanding requirements, and route results or exceptions to the designated U.S. process owner.
  • Maintain documentation showing request date, completion date, status, outstanding items, and escalation. 
  • Do not interpret screening results or make independent eligibility or hiring decisions. 

 Form I-9 Workflow Coordination 

  • Provide approved Form I-9 instructions and onboarding reminders to applicable U.S. hires.
  • Track completion of employee and employer sections through SCI’s approved process. 
  • Coordinate with designated U.S. personnel, authorized representatives, or approved electronic systems responsible for document examination and employer certification.
  • Monitor deadlines and escalate incomplete, late, inconsistent, or potentially deficient records. 
  • Maintain Form I-9 records in the designated restricted location and support approved audits. 

New-Hire Orientation Coordination 

  • Schedule employees for applicable new-hire orientation and send approved invitations, attachments, forms, checklists, and instructions.
  • Maintain orientation rosters and confirm attendance. 
  • Coordinate materials and attendance information with HR and Talent Acquisition presenters. 
  • Track returned acknowledgments, quizzes, completion documents, and required signatures. 
  • Follow up on missed orientations and incomplete records and file completion evidence in the approved employee record.  

Cross-Functional Readiness Coordination 

  • Submit and track approved setup requests involving HRIS, Payroll, timekeeping, Benefits, email, Microsoft 365, IT equipment, Security, Credentialing, Compliance, Training, and manager onboarding.
  • Confirm each functional owner has completed assigned readiness tasks before the approved start date.
  • Escalate unresolved access, equipment, training, credentialing, or manager-readiness issues. 
  • Do not independently grant access or approve permissions. 

New-Hire File and Data Management 

  • Create and maintain complete, organized onboarding records in approved systems. 
  • Confirm receipt of offers, agreements, screening records, acknowledgments, checklists, and other required documents. 
  • Reconcile accepted candidates in the ATS against new-hire records in the HRIS. 
  • Identify duplicate, missing, inconsistent, or outdated information and correct administrative data only when authorized and supported by source documentation. 
  • Maintain records in the correct personnel, Form I-9, medical, background, or restricted file. 

First-Week and 30/60/90-Day Handoff 

  • Confirm the manager has received the approved onboarding checklist and first-week expectations. 
  • Verify that the new employee has a prepared workspace, system access, equipment, assigned training, manager contact, and initial schedule. 
  • Track first-week checklist completion and support handoffs for 30-, 60-, and 90-day manager check-ins. 
  • Monitor introductory-period review dates and send approved reminders. 
  • Escalate incomplete manager actions, access barriers, missed training, or onboarding concerns without independently evaluating performance. 

Candidate and Manager Service

  • Serve as a responsive point of contact for routine onboarding questions. 
  • Provide only approved information and maintain timely, clear, and professional communication. 
  • Follow up with managers on feedback, approved offers, readiness tasks, and start-date dependencies. 
  • Route compensation, benefits, accommodation, leave, immigration, legal, employee-relations, and policy-exception questions to the appropriate specialist. 
  • Provide consistent support across SCI entities, locations, departments, and service lines. 

WHAT WE'RE LOOKING FOR

Minimum Qualifications:

  • Experience coordinating document-intensive processes with defined deadlines.
  • Experience using an ATS, HRIS, shared tracker, or case-management system.
  • Demonstrated experience handling confidential or sensitive information.

Preferred Qualifications:

  • Three or more years of recruiting and onboarding experience.
  • Experience supporting a U.S.-based organization and U.S. business hours from the Philippines.
  • Experience supporting healthcare, physician-practice, clinical, or other regulated operations.
  • Experience with high-volume or multi-location hiring.
  • Experience coordinating background checks, references, drug screenings, occupational-health requirements, or professional-license verification.
  • Experience with Form I-9 workflow administration, onboarding audits, Excel reporting, or dashboard support.

Education & Experience: 

  • Bachelor's degree in human resources, Psychology, Business Administration, Management, Communications, or a related field, or an equivalent combination of education and directly relevant experience.
  • Two or more years of experience in recruiting coordination, onboarding, HR administration, employee records, credentialing support, or a related function.
